If your emails are landing in spam folders or not reaching customers at all, it’s likely an issue with deliverability. The good news is: there are steps you can take to improve it - and they don’t require advanced technical knowledge.

Here’s how to help make sure your emails arrive where they’re meant to.

1. Use Your Own Domain For Emails

Sending email from a custom domain (like you@yourbusiness.co.uk) instead of a free address (like Gmail or Outlook) instantly improves trust and deliverability. AeroWave Hosting includes business email with all of our hosting plans, so you’re already on the right track.

2. Set Up SPF, DKIM and DMARC Records

These are domain-based email authentication records that help email providers verify that messages sent from your domain are legitimate.

  • SPF specifies which mail servers are allowed to send on your behalf

  • DKIM adds a digital signature to verify the message is authentic

  • DMARC tells providers what to do if a message fails SPF or DKIM checks

If these aren’t set up properly, your emails might be rejected or flagged as suspicious.

Don’t worry - we’ll walk you through how to set each one up in separate articles.

3. Avoid Spam-Like Content

Email filters don’t just look at the technical side - they also check what your email says. To stay clear of spam folders:

  • Avoid ALL CAPS, lots of exclamation marks, and overly “salesy” wording

  • Don’t use misleading subject lines

  • Make sure your message has a clear purpose and is easy to read

  • Include a plain-text version and a physical contact address in your footer

4. Use A Reputable Email Client or Service

Whether you’re sending emails through webmail, Outlook, Apple Mail, or another app, make sure it’s correctly configured with your AeroWave settings. We recommend using IMAP and secure ports, which help with message reliability.

For bulk sending (like newsletters), use a trusted platform like Mailchimp, Brevo, or Campaign Monitor - don’t send marketing emails through your personal mailbox.

5. Monitor For Issues

If customers mention they aren’t receiving your emails:

  • Check if your domain has SPF, DKIM and DMARC properly set up

  • Use a tool like mxtoolbox.com to check your domain reputation

  • Reach out to our support team - we’re happy to check your DNS settings and give personalised guidance
